2. Information we collect
When you enquire, we collect the details you submit, such as your name, phone or WhatsApp number, email address, whether your property is tenanted, messages and any documents you choose to upload. A title deed may contain ownership details, property identifiers and other personal information.
If you proceed with our services, we may request information necessary for onboarding and property management, such as identity and authority documents, tenancy records, payment instructions and property details. Additional information requests will explain their purpose where needed.
Our website systems may process technical information such as IP address, browser and device information, timestamps, security logs and referring pages. Enquiries may include the page or campaign that led you to us. Non-essential analytics or advertising technologies, if enabled, are subject to the choices explained below.
Only provide information you are authorised to share. Avoid uploading unrelated personal information or documents that are not needed for your enquiry.
3. How and why we use information
We use relevant information to respond to enquiries, assess a property, prepare a quotation, arrange requested contact, verify authority, onboard clients and perform agreed property management services. We also use information to maintain records, secure our systems, prevent misuse, resolve complaints and meet applicable legal obligations.
We process personal information with consent where required, or under another permitted legal basis, such as taking steps you request before entering a contract, performing a contract or meeting a legal obligation. We do not treat visiting the website as blanket consent to every use of your information.
4. Marketing and contact preferences
Submitting an enquiry allows us to respond about that enquiry through the contact details you provide. This is separate from subscribing to promotional communications.
Where required, we obtain a separate opt-in before sending marketing by email, telephone, SMS or WhatsApp. You can withdraw marketing consent using the unsubscribe facility provided or by contacting us. Withdrawal does not prevent necessary communications about an existing enquiry or service, or affect processing lawfully carried out before withdrawal.
Information held for owners’ association or community management purposes is not automatically permission to market unit management services. Any use for a separate purpose must have an appropriate legal basis and notice.
5. Who may receive information
Where necessary for the purposes described, information may be accessible to authorised staff, relevant KAIZEN group support teams, and providers supporting website hosting, secure document storage, enquiry handling, communications and other contracted operations.
If you engage our property management services, relevant information may also need to be shared with tenants, contractors, professional advisers and competent authorities or approved service channels, as appropriate to the service and your instructions. We may disclose information where legally required or necessary to establish, exercise or defend legal claims.
Access and disclosure should be limited to what is needed for the relevant purpose. This policy does not authorise unrestricted sharing across the KAIZEN group.
6. International processing
Some service providers may process information outside the UAE. Where a transfer occurs, we will use the safeguards or other transfer grounds required by applicable law. You may contact us for information about the arrangements relevant to your data.
7. Retention and security
We retain personal information for as long as necessary for its collection purpose and applicable legal, accounting, regulatory or claims-related requirements. Retention depends on the record type, whether you become a client and whether a dispute or legal obligation requires continued storage. Information no longer needed will be deleted or anonymised, subject to applicable requirements.
We use appropriate technical and organisational safeguards to protect personal information. No online system can guarantee absolute security. Please contact us if you believe information has been disclosed or accessed without authorisation.
8. Your rights
Subject to applicable law and its conditions and exceptions, you may request information about our processing, access to your personal information, correction, erasure, restriction or cessation of processing, and transfer of eligible data. You may withdraw consent where processing relies on it and object to direct marketing. Rights relating to automated processing may also apply where relevant.
Contact unitmanagement@kaizenams.com to make a request. We may need proportionate information to verify your identity or authority. We will explain any applicable limitations on a request. You may also raise a complaint with the competent data protection authority.
10. Changes
We may update this policy to reflect changes in our services, processing or applicable requirements. The updated policy will show its revision date. Where a change requires renewed consent or additional notice, we will provide it as required.
